Managing Your Schedule: Time Off, Availability and Schedule Changes

How to manage your schedule within the employee portal

The basics

From the Employee Portal you can:

  • Submit time off (leave / call out)

  • Submit availability (when you can work)

  • Schedule changes (modify, delete, or copy and paste shifts)

Depending on your organization's rules, requests may be auto-approved, blocked by policy, or sent to a manager for review.

What you see depends on your permissions. Submit Time Off is always visible. The other button says Submit Availability if you can only submit when you can work, or Manage Your Schedule if you can also request shift changes. If you do not see either, ask your administrator.


Submitting time off

  1. Open the Employee Portal.

  2. In Your Schedule, click Submit Time Off.

  3. Choose the date range, leave type, start time, and duration.

  4. Add more entries if you need multiple days or blocks.

  5. Review any policy messages (notice period, balance, etc.), then click Submit request.

Submitting availability

Availability tells your scheduling team when you can work. It is not the same as being scheduled, although some organizations may approve availability automatically.

  1. In Your Schedule, click Submit Availability or Manage Your Schedule (whichever button you see).

  2. Click + on a day (or open an existing Available to work entry).

  3. Set the start and end times for when you are available. Keep the entry as available time (not time off).

  4. Click Save so the draft appears on your calendar.

  5. Repeat for other days, then click Submit Changes.

Save only stages a draft on your calendar. Availability is not submitted until you click the Submit Changes button.


Requesting Shift Changes

If permitted by your organization, you can request to delete or modify your existing shifts.

  1. Click Manage Your Schedule. If your button says Submit Availability, you can add availability but you cannot change existing shifts.

  2. Click an existing shift to edit times, team, or role, or click + to add a new draft shift.

  3. Optional: right-click an entry, a day, or a week to copy it, then right-click another day or week to paste.

  4. Optional: use Change to time off to turn a shift into leave, or Delete / the chip X to propose removing a shift.

  5. Click Save on the modal.

  6. When everything looks right, click Submit Changes.

If you already have a pending change on a shift, open it in manage mode and use Cancel request on the yellow banner to withdraw that change, then Submit Changes. Delete proposes removing the whole shift, which is different from canceling the pending modification.


Copying and pasting shifts

While you are managing your schedule, you can copy an entry, a day, or a whole week and paste it onto another day or week.

  1. Click Manage Your Schedule.

  2. Right-click an entry, a day, or anywhere in the week.

  3. Choose Copy entry, Copy day, or Copy week.

  4. Right-click the destination and choose Paste entry, Paste day, or Paste week (matching what you copied).

  5. Click Submit Changes.

Copied shifts still need approval. Pasting creates the same kind of draft change as adding a shift by hand. After you submit, they are requests, not approved shifts, unless your organization's rules auto-approve them.


Compliance warnings before you submit

While you make changes, Planbase checks scheduling rules. If something needs attention, you'll see a compliance warnings or compliance denials button next to Submit Changes.

Open the warnings to see what may be denied or needs manager review. If submit is blocked by a compliance denial, clicking Submit Changes opens those details so you can see what to fix. You can still submit when allowed; your manager sees the same context when they review.


After you submit

  • Approved changes update your schedule.

  • Pending time off or claims may appear under Pending Requests on the portal.

  • You'll be notified when a manager approves or denies the request.
