The basics
Employees can view time-off balances in Planbase from:
The flight icon in the Employee Portal header
Inside the time-off request flow when creating a new request (Submit Time Off)
Balance is your hours as of today, or as of the request date when you are viewing balances from the request modal. Hours available is what remains after pending requests and related future accruals.
Some balances are pulled directly from payroll systems like ADP or Gusto. The Remaining Balances tab on the flight icon is only available when your organization has payroll time-off sync enabled.
Understanding the Remaining Balances table
Each row is a time-off policy that applies to you.
Column | What it means |
Policy type | The type of time off (e.g. Sick, PTO, Floating Holiday). |
Balance | Hours as of today (or the date of the request). May come from your payroll provider (e.g. ADP). |
Other requests | Hours already requested that are still pending payroll export or approval. |
This request | Hours in the request you’re currently submitting or viewing. Only shown in the request modal, not on the Remaining Balances tab. |
Hours available | Hours remaining after pending requests and related future accruals. |
Understanding predicted balances
When you request time off for a future date, Planbase calculates a predicted balance — an estimate of how many hours you’ll have by then, based on future accruals and pending requests not yet sent to payroll.
Hours available in the top table is based on the lowest predicted balance between now and the end of your current request, so the balance doesn’t drop below zero at any point.
Once a request is approved and exported to payroll, those hours come out of Balance and are no longer treated as pending.
