The basics
Before accepting and managing shift offers you'll first need to have configured your account to allow employees to make offers through Slack, SMS or email
The Open Shifts feature for admins makes it easy for you to manage, accept and decline shift offers as soon as they become available
Creating Open Shifts
Start by creating unassigned shifts from the scheduling page. These shifts will be open and visible to employees as soon as they have been published. If you are looking for multiple people to fill a shift you can specify the number required at the bottom of the shift card.
ℹ️ ℹ️ If you assign a specific team, role, shift tag or have assigned activities to an unassigned shift only people who are eligible to work will be able to see it
Accessing and Managing Shift Offers
Navigate to the main scheduling page. The red callout in the sidebar shows the number of Open Shifts that currently have pending offers available. Click on the callout to access these through the Open Shifts modal.
Here, each open shift is displayed along with a badge indicating how many offers have been made. Click on the expandable icon to view all associated offers and select which should be accepted or declined.
ℹ️ ℹ️ Unassigned shifts remain open and visible until deleted. Once you reach the number of people required you'll be asked wether you'd like to delete the shift or keep it open to accept more offers.
Accepting Partial Availability
Sometimes, employees may only be available for part of the time that a shift covers. In such cases, Planbase will indicate when that employee has said that they are available to work. If you accept their offer a new shift will be created and published for them using the updated times.
