Connect Planbase to Healthie

How provider schedules, availability, licenses and appointments sync between Planbase and Healthie.

Written by Planbase Team

The basics

Use the integration to:

  • Import providers and appointment types from Healthie.

  • Turn approved Planbase schedules into bookable Healthie availability.

  • Use Healthie appointments for utilization, forecasting, and pay in Planbase.

  • Keep provider state licenses aligned between both systems.

  • Today, patients book in Healthie. Booking appointments in Planbase and pushing them into Healthie is planned, but is not live yet.

Healthie to Planbase

Provider roster

  • Planbase imports Healthie provider IDs, names, and email addresses. Existing people are matched first by Healthie ID and then by email, which prevents duplicate profiles when the records already match.

Appointment types

  • Planbase imports the appointment type name and duration. Appointment types remain managed in Healthie. Planbase uses them to define which work a provider can be booked for during each part of a shift.

Appointments

  • When an appointment is created, updated, or deleted in Healthie, Planbase receives the event. Planbase uses the appointment time, status, provider, and appointment type for utilization, forecasting, and pay.

State licenses

  • Healthie can be the source for provider state licenses. If Planbase manages licensing for your team, Planbase can instead send approved licenses back to Healthie.

Bookable availability

  • When an admin publishes an approved shift, Planbase creates the matching availability in Healthie. Availability can cover all appointment types or be split into separate windows for specific services.

State licenses

  • If Planbase is the source of truth, an approved license can be sent to Healthie so the provider becomes bookable in that state. Holding a license in Planbase does not automatically make the provider bookable. Your configuration controls which approved licenses are sent.

What does not sync

  • Planbase does not import patient profiles, charts, clinical notes, forms, claims, or billing records. Today, appointments are booked in Healthie and flow into Planbase. Booking appointments in Planbase and pushing them into Healthie is planned, but is not live yet.

Set up the integration

  1. Open Settings in Planbase.

  2. Select Integrations, then Healthie.

  3. Paste the API key issued for your Healthie organization.

  4. Add an authorization shard only if your Healthie account requires one.

  5. Save the connection and run a resync.

Connect Healthie from Settings → Integrations in Planbase.

  • The first sync imports your providers, appointment types, and configured license data. The integration then keeps the data current through appointment webhooks and scheduled reconciliation.

Review imported providers

Imported provider in Planbase
  • Confirm that each provider's email in Healthie matches the email in Planbase. Matching emails attach Healthie to the existing Planbase profile. A different email can create a second profile that will need to be reconciled.

Choose the license source

Provider state licenses in Healthie
  • Choose whether licenses should come from Healthie or Planbase during setup. Planbase stores more than a yes or no state flag, so a provider can hold a license without being enabled for booking in that state.

Publish provider availability

Providers submit their hours in Planbase. An admin reviews those hours against demand, coverage rules, and the work the provider is eligible to perform. Once accepted, the time becomes a shift on the Planbase schedule.

Provider schedule in Planbase

Planbase shows the provider schedule alongside required coverage.

  • Publishing the shift sends its bookable windows to Healthie. Planbase can divide one shift into different appointment types and exclude internal time, such as breaks, training, or a clinical meeting.

Bookable provider availability in Healthie

The published schedule appears as bookable availability in Healthie.

  • In this sandbox example, the provider is available from 8:00am to 5:00pm. Today, patients book that time in Healthie. Booking appointments in Planbase and pushing them into Healthie is planned, but is not live yet.

Use Healthie appointments in Planbase

Appointments booked in Healthie are attached to the provider's shift in Planbase. This gives operations teams one place to compare scheduled time with completed work.

Provider timesheets in Planbase

Appointments can be used to:

  • Measure provider utilization.

  • Forecast demand by appointment type, service line, or state.

  • Calculate per-consult pay, including different rates for completed visits and no-shows.

  • Export approved pay to an existing payroll system, or pay contractors through Planbase.

How often does the integration run?

  • Appointments: Changes arrive in real time through Healthie webhooks.

  • Availability: Publishes continuously, usually within a few minutes of publishing the schedule.

  • Reconciliation: Providers, licenses, appointment types, and appointments are reconciled three times each day.

  • Manual sync: An admin can run a full resync from the Planbase integration page.

Troubleshooting

Availability is missing in Healthie

Check that the provider's email matches in both systems, the provider is active in the correct Healthie organization, and the schedule was published in Planbase. If availability was recently published, allow a few minutes for it to appear.

A provider was duplicated

This usually means the Healthie email did not match the existing Planbase profile. Update the emails so they match, then contact Planbase to reconcile the profiles.

A license is not bookable

Confirm that the license is approved and configured to sync to Healthie. A stored license may intentionally remain disabled if the provider is not cleared to practice or prescribe in that state.
