How to build a schedule with recurring shifts and activities

The basics

  • Recurring schedules in Planbase allow you to create shifts and activities that happen at the same time each day, week or bi-weekly

  • They are best for employees with fixed working hours or a working pattern which does not vary a significant amount from week-to-week


Creating a recurring shift

ℹ️ ℹ️ Notes do not repeat and are only ever applied to the shift or activity which you are currently editing!

  • Click on a shift from the main scheduling page to open the shift editing modal

  • Click on the drop-down menu that says Does not repeat and select when you'd like the shift to repeat:

    • 1 whether the shift repeats every single week or every other week

    • 2 the days of the week on which the shift should repeat

    • 3 when you'd like the shift to stop recurring

  • Click Save & Publish


Adding recurring activities

  • Recurring activities can be added to any shift which has a recurring pattern

  • Click on the Does not repeat label and select the frequency at which you'd like the activity to repeat

  • You must choose a recurrence pattern which is consistent with the recurrence pattern of the shift

    • e.g. if a shift repeats only on Mondays, it is not possible to add an activity that repeats on Mondays and Tuesdays!

  • It's also possible to add one-off activities to a shift that do not repeat such as meetings or training events


Updating a recurring shift or activity

  • You can update a recurring shift or activity using the same dropdown menus

  • When saving a shift you'll be asked to select between:
    ​

    • Create new non-recurring shift - this option will save any changes that you have made and remove the shift and its activities from any recurrences
      ​
      ​For example, you may want to save an altered schedule for an employee working a holiday which falls on the same day as their regular schedule
      ​

    • Save & republish - this is the option you'll want to select most of the time. In addition to saving any changes you have made it will also make sure that changes to recurrence patterns are applied to future shifts
      ​
      ​For example, an employee's regular schedule may be switching to a 10AM start time. As well as changing the time of the shift on the first day of the switch this option will make sure the change is applied on future dates too


➑️ Switching over to a recurring schedule

  • If you are looking to move an employee's existing schedule over to a regular schedule here are some considerations:

    • Recurring schedules will add shifts to all selected days, even if there is already a shift or time off scheduled

    • We recommend checking the schedule once it is complete to make sure there are no duplicated entries

    • If you need to bulk delete an existing schedule please contact your account manager!
