🔄 Recurring Schedules

How to create and update a recurring schedule

The basics

  • Recurring schedules are used for a schedule that you want to repeat at the same time each day, week or bi-weekly

  • They are best for employees with fixed working hours or a working pattern which does not vary a significant amount from week-to-week


Creating a recurring schedule

Option 1: From the scheduling toolbar

  • Click on +Add and then Create Shift Pattern

Option 2: From an existing schedule

  • Select a schedule from the main scheduling page to open the editing modal

  • Click on the chip that says Does not repeat


Building the pattern

ℹ️ ℹ️ You can label a pattern by typing in the text that says Edit Shift Pattern

  • Step 1: Select how you'd like the pattern to repeat - every week, every 2 weeks, every month or just once

  • Step 2: Choose who you'd like the pattern to apply to. You can specify multiple people or just one

  • Step 3: Modify the date ranges over which this pattern should be applied for each person. Click the calendar icon to exclude specific days or dates. Click the minus icon to remove the whole date range

  • Step 4: Build out the schedule which you'd like to repeat! You can click into a specific day to add activities!

    • You can use common keyboard shortcuts to quickly copy and paste a schedule from one day to another


Making modifications

You can edit existing patterns by:

1) Selecting the pattern in an existing shift

2) Or within the persons profile selecting the relevant pattern

I'd like to add or remove people from an existing pattern

On the left hand side of the modal, find the person you'd like to remove and press the minus icon at the end of the row.

Use + Add People to add someone.

I'd like the pattern to stop applying to someone after a fixed date

Instead of using the minus icon, you should modify the dates directly in that person's row. For example, the pattern below applies to Liam between June 14th and June 30th. Updating the end date to the 25th June will remove all shifts associated with this pattern after the 25th.

I'd like to change the schedules within a pattern

On the right hand side of the modal, modify the displayed scheduled as needed. If the schedules inside the pattern have changed you will need to select a date from which the updated pattern should be applied. For example, changes to the pattern below will be applied from the 14th June. You can click on this date if the update should be applied from a different date.

⚠️⚠️ Schedule changes are applied to everyone in the pattern!
