The basics
Recurring schedules in Planbase allow you to create shifts and activities that happen at the same time each day, week or bi-weekly
They are best for employees with fixed working hours or a working pattern which does not vary a significant amount from week-to-week
Creating a recurring shift
βΉοΈ βΉοΈ Notes do not repeat and are only ever applied to the shift or activity which you are currently editing!
Click on a shift from the main scheduling page to open the shift editing modal
Click on the drop-down menu that says
Does not repeat
and select when you'd like the shift to repeat:1 whether the shift repeats every single week or every other week
2 the days of the week on which the shift should repeat
3 when you'd like the shift to stop recurring
4 any activities that should be included with the pattern
Click
Save & Publish
Adding recurring activities
You can add and update recurring activities when selecting the recurring pattern of a shift
Activities must repeat in a way which is consistent with the shift pattern...
e.g. if a shift repeats only on Mondays, it is not possible to add an activity that repeats on Mondays and Tuesdays!
Recurring activities are visible in the
SCHEDULED ACTIVITIES
section of any given shift card :Here, you can remove a recurring activity from a specific shift or add notes
You should edit the shift's recurring pattern if you want to make changes to a recurring activity across multiple shifts
It's always possible to add non-recurring activities to a shift that do not repeat such as meetings or training events
Updating a recurring shift or activity
You should always use the shift recurrence dropdown button to update a recurring shift and any recurring activities
If you have made changes to a shift's recurring pattern which can be applied to other shifts you'll be given the following options:
βJust this shift
- this option will only apply your changes to the currently selected shifts, and will remove that shift from the recurring pattern

βFor example, you may want to save an altered schedule for an employee working a holiday which falls on the same day as their regular schedule
βApply to all future shifts
- this option will apply any changes you have made to all future shifts which appear in the repeating pattern

βFor example, an employee's regular schedule may be switching to a 10AM start time. As well as changing the time of the shift on the first day of the switch this option will make sure the change is applied on future dates too
β‘οΈ Switching over to a recurring schedule
If you are looking to move an employee's existing schedule over to a regular schedule here are some considerations:
Recurring schedules will add shifts to all selected days, even if there is already a shift or time off scheduled
We recommend checking the schedule once it is complete to make sure there are no duplicated entries
If you need to bulk delete an existing schedule please contact your account manager!
