Viewing schedule metrics and staffing allowances in Planbase

Learn how to track staffing levels, required hours, and forecasted appointments using schedule metrics in Planbase.

The basics

Managers in Planbase can use the Schedule Metrics view to track key scheduling data, including forecasted appointments, required hours, and total scheduled hours.

These insights help ensure proper staffing levels and monitor schedule adherence.

To access schedule metrics, go to the Scheduling screen and click the bar chart icon on the right-hand side. This will display various grouped metrics for a selected time range.

Manager permissions for viewing metrics may vary depending on the organization’s settings.


Viewing schedule metrics

To access scheduling metrics:

  1. Open the Scheduling screen.

  2. Click the bar chart icon next to "All users."

  3. Select a metric to view grouped schedule data.

The available metrics include:

  • Forecasted appointments & tickets – Displays the expected number of appointments, tickets, or tasks.

  • Total scheduled hours – Shows the number of scheduled hours broken down by team, role, license, or skill.

  • Required hours – Indicates the number of hours needed to meet staffing or time-off requirements.


Understanding required hours

The Required Hours metric helps track staffing needs and coverage. Each row represents an SLA (Service Level Agreement), which groups required hours by category, such as:

  • Flex hours allowance – Maximum allowed flex hours for a given period.

  • Initial visit SLA – Required staffing hours based on projected initial visits.

Each row has two numbers:

  • Top number – Actual scheduled hours for that SLA.

  • Bottom number – Target staffing hours required.

For example, if Initial Visits on Monday, March 3rd shows scheduled hours with a target of 7, the organization is overstaffed for that SLA.


Color coding for staffing levels

Cells in the Required Hours table are color-coded to indicate staffing status:

  • Blue – Overstaffed (more scheduled hours than required).

  • Clear – Staffing meets the exact requirement.

  • Red – Understaffed (fewer scheduled hours than required).

Managers can adjust staffing by modifying shifts in the schedule. As shifts are added, removed, or changed, the Required Hours table updates automatically.


Adjusting the time view

Managers can change the time increments for metrics using the dropdown menu in the bar chart icon section.

  • In Week View, metrics can be grouped by:

    • Daily

    • Day parts (morning, afternoon, evening)

  • In Day View, metrics can be broken down further into:

    • Hourly

    • 15-minute intervals

This allows managers to see staffing coverage in greater detail when needed.
